Alumnae, Annual Fund, and Events Coordinator
JOB TITLE: Alumnae, Annual Fund & Events Coordinator (FT)
FLSA Classification: Exempt
Responsible to: Chief Advancement Officer
NDA’s Alumnae, Annual Fund, and Events Coordinator is responsible for supporting the Advancement Office by facilitating alumnae relations, coordinating the campaigns for the Annual Fund of NDA, and supporting on and off campus events. This role involves engaging with alumnae, fostering relationships, and ensuring successful fundraising efforts to achieve fundraising goals.
KEY RESPONSIBILITIES
- Develop and maintain relationships with NDA alumnae to strengthen engagement & alumnae community.
- Work closely with the Alumnae Association to coordinate alumnae communications, including newsletters, social media updates, and emails.
- Assist in planning and executing of alumnae & NDA/campus events, such as reunions & social/networking gatherings.
- Help maintain accurate and up-to-date alumni records in Raiser’s Edge (Alumnae Database).
- Act as a primary point of contact for alumni inquiries and requests.
- Assist in planning and implementing the annual fund campaign, including direct mail, email solicitations, and other fundraising initiatives.
- Monitor and track the progress of the Annual Fund of NDA, including reporting on key metrics and goals.
- Coordinate with the advancement team and internal/external stakeholders to ensure the successful execution of fundraising campaigns.
- Manage donor acknowledgment and stewardship efforts, ensuring timely and accurate communication with donors.
- Coordinate and execute a variety of NDA events on and off campus.
- Work with vendors, caterers, and other event partners to ensure the successful execution of events.
- Manage event logistics, including budgeting, scheduling, and coordination with internal departments.
- Maintain accurate records of alumnae, donors, and event participants in the Raiser’s Edge database.
- Ensure data integrity and confidentiality in accordance with NDA policies.
- Generate reports and analyze data to inform strategy and decision-making.
- Assist with grant research and grant writing
- Provide general administrative support to the Advancement Office, including meetings, managing calendars, and preparing materials.
- Assist with special projects and other duties as assigned by the Chief Advancement Officer.
SKILLS & EXPERIENCE
Education: Bachelor’s degree in a relevant field or equivalent experience.
- 2 years of experience in alumni relations, fundraising, event planning, or a related field.
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in Google platform, MS Office and familiarity with database management
- Attention to detail and problem-solving skills.
This position may require occasional evening and weekend work for events and activities which may also involve some travel to attend events or meetings

Position Summary
Notre Dame Academy seeks a dynamic and competitive coach to assist with the high school Lacrosse program. NDA coaches are actively engaged in the community, and embrace both the mission and values of St. Julie Billiart, the Sisters of Notre Dame de Namur and the Academy. The role of the Assistant Varsity/JV Lacrosse Coach is to be responsible for coaching, character development and providing direction to student-athletes so that they might achieve a high level of skill and an appreciation for discipline, sportsmanship and teamwork in lacrosse. This job requires you to interact thoughtfully and respectfully with student-athletes, fellow coaches, staff, parents and the community as well as follow the mission of the school. Positive communication strategies, organizational skills, and safety awareness are key requirements.
Essential Duties and Responsibilities
-Following and upholding the policies and mission statement of Notre Dame Academy and communicating the vision of the Notre Dame Academy program to athletes and parents
-Oversee the development of all levels of the softball program
-Instructing and demonstrating skill sets and techniques necessary for individual and team development.
-Coordinating parent meetings, tryouts, daily practice planning, game management, off-season programming and community engagement
-Work closely with the Athletic Director to ensure all school policies/procedures are being followed as it relates to athletic programs (eligibility, parent meetings, registrations, tryouts, scheduling, equipment inventory/collection, off-season training programs, awards night, pre/post-season meetings, etc.)
-Work directly with the Athletic Director in reporting injuries, teaching precautions and procedures to ensure staff/student safety, and helping students prevent injuries.
-Create a safe environment conducive to learning and appropriate for the physical, social, and emotional development of students.
-Ability to represent NDA appropriately to the NDA school community, local softball community, press, and broader community
-Understand the necessary commitment, expectations, and pressures associated with being the head coach in a well-supported program.

-Organize and manage the distribution and collection of uniforms
-Manage equipment in season and forecast needs for the future
-Attend preseason and postseason coaches meeting with Athletic Director and end-of-season Athletics Awards Night
-Citizenship, residency or work visa required
